What we do, exactly

We walk every device, read every tag, and put every date on one calendar

This page is the whole job, system by system: what we look for on a walkthrough, what we install and service, what the other vendors owe you and how we hold them to it, and what ends up in the site file. Nothing here is a mystery. It is the same checklist the fire official, the insurance adjuster, and the survey team work from.

Step one

The walkthrough: 30 minutes, every device, photographed

We start at the front door with the registration certificate and the last inspection report, then walk the building the way the inspector will. Every extinguisher, light, door, cylinder, and panel gets a photo of its tag and a line in the gap list. You get the written list with the code citation next to each item, whether or not you hire us.

1. Paper first

Registration type and number, last inspection report and any open violations, insurance declarations page and the protective-safeguards endorsement, current vendor invoices and tags.

2. Walk and photograph

Every device on the list below, in the order the inspector takes. Tag, date, mounting, signage, condition. Serial numbers on cylinders and panels. Nothing is written from memory.

3. The gap list

One line per finding: what, where, the code section, the fix, and who owns it. Emergency items are flagged the same day. The rest becomes the calendar.

What we look for

The checklist, system by system

These are the items that get written up. Most citations come from three or four of them.

Portable fire extinguishers NFPA 10 · N.J.A.C. 5:70

  • Count and travel distance. An extinguisher within 75 feet of any point, 30 feet in a kitchen, and the class matched to the hazard: K by the fryers, C near electrical panels, ABC everywhere else.
  • Mounting and visibility. Handle no higher than 5 feet (3½ feet for units over 40 pounds), bracket or cabinet, nothing stored in front of it, a sign where it cannot be seen from the room.
  • The tag. Annual maintenance date and technician within 12 months, monthly initials, hydrostatic test date inside its 5-, 6-, or 12-year interval, 6-year internal maintenance on stored-pressure units.
  • The unit itself. Gauge in the green, pin and tamper seal in place, hose and nozzle clear, no corrosion or dents, weight within tolerance on CO2 and cartridge units.

Emergency and exit lighting NFPA 101 §7.9 · §7.10

  • Every fixture, every month. The 30-second test button on each unit, logged. We run it with you the first time and review the log after that.
  • The 90-minute annual. Full discharge on battery, every fixture, once a year, with the pass/fail written down. A fixture that dims at minute 40 is a citation.
  • Coverage. Light on the whole egress path including stairs, outside the exit door, and at every direction change. Exit signs readable from 100 feet, lit on both faces where visible from both sides.
  • The path itself. Doors that open without a key or special knowledge, panic hardware that works, nothing stored in the corridor, the exit discharge clear to the public way.

Fire doors and compartmentation NFPA 80 §5.2 · NFPA 101

  • Labels. A fire door and its frame both carry a rating label. Painted-over or missing labels get written up.
  • Closing and latching. The door closes fully and latches from the open position on its own. No wedges, no hold-opens that are not tied to the alarm.
  • Gaps and hardware. Clearance under ⅛ inch at the meeting edges and ¾ inch at the bottom, no holes from removed hardware, coordinators and astragals in place on pairs.
  • Penetrations. Cables and pipes through rated walls sealed with a listed firestop, not foam from a can.

Kitchen hood suppression and exhaust NFPA 96 · NFPA 17A · UL 300

  • The semiannual tag. Suppression inspected within 6 months by a licensed contractor, with the report on file. The single most common restaurant citation in the county.
  • Nozzles and links. Every nozzle capped and aimed at the appliance it protects, fusible links dated and replaced at least semiannually, appliances not moved out from under their nozzle.
  • Manual pull and gas valve. The pull station reachable on the exit path, the gas shutoff tied to the system, the placard and the Class K extinguisher within 30 feet.
  • Grease. Hood, filters, and duct cleaned on the schedule the cooking volume requires, with the cleaner's sticker dated. Filters in place and undamaged.

Fire alarm and sprinkler systems NFPA 72 · NFPA 25

  • The panel. No trouble or supervisory lights, the monitoring company's account current and tested, the annual inspection tag and report on file, batteries dated.
  • Devices. Pull stations unobstructed, horn-strobes present in every occupied room, smoke and heat detectors in date and free of paint and dust caps.
  • Sprinklers. Control valves open and locked or supervised, gauges reading, the fire department connection capped and signed, 18 inches of clearance below heads, no paint on heads, spare-head box stocked with a wrench.
  • Testing records. Quarterly and annual NFPA 25 tests, the 5-year internal inspection, and the backflow test, each with a report and a date. We track who owes what and when.

Medical oxygen and compressed gas NFPA 99 §11 · 21 CFR Part 213 · 49 CFR 180

  • Storage. Full and empty cylinders segregated and labeled, every cylinder chained or racked, valve caps on when not in use, 20 feet from combustibles or a rated enclosure, the quantity inside the room's limit.
  • Signage. "Oxygen, no smoking, no open flame" at the door, the hazard placard, and the full/empty markers where the crews actually put cylinders.
  • The cylinders. DOT requalification date within its interval, serial recorded, no damage or corrosion, regulator and gauge working, contents label legible.
  • If you fill your own. Fill-station SOPs, lot logs, purity tests, training records, and the FDA registration that Part 213 requires. Most squads have none of it and do not know they need it.

Data centers and server rooms NFPA 2001 · NFPA 75 · NFPA 110 · NFPA 855

  • Clean-agent system. Cylinder weight or pressure recorded semiannually against the tag, hydrostatic date, the abort and discharge signage, the release panel free of troubles, room integrity if the walls changed.
  • Detection. Air-sampling detector sensitivity tested annually and within its listed range, the pre-action valve trip-tested, both reports on file.
  • Backup power. Generator run log monthly under load, the annual load-bank report, fuel tank permit and inspection, spill kit present.
  • Battery room. NFPA 855 signage, ventilation and hydrogen detection where required, spill kit and eyewash, the energy-storage permit and hazmat statement filed with the fire official.

Hands on the equipment, honestly labeled

We do the hands-on work we are licensed and equipped for, and we coordinate the rest so it actually happens on time. What we do not do ourselves, we say so.

Extinguisher placement, mounting, and signage

Brackets and cabinets hung at code height, the class matched to the hazard, location signs where a unit is out of sight, the monthly quick-check taught to your staff. Annual maintenance and hydrostatic testing are coordinated through a permitted contractor until our NJ Division of Fire Safety permit issues, and the invoice says whose truck came.

Emergency and exit lighting

Battery replacement and lamp swaps on self-contained units, the monthly and annual tests with the log, and fixture replacement on the existing circuit. New circuits go to a licensed electrician we schedule and check.

First aid, AED, and eyewash

OSHA-compliant first-aid cabinets stocked to ANSI Z308.1, AED cabinets with signage and the pad and battery dates tracked, eyewash stations flushed and logged.

Cylinder storage

Racks, chains, full and empty segregation, storage-room signage, the cylinder inventory by serial and requalification date, and the fill-station paperwork for squads that fill their own.

Permits, registrations, and filings

Life Hazard Use and municipal registrations, renewals, hot-work and tank permits, the energy-storage statement, the plan of correction after an inspection, all filed on the date and kept in the site file.

We coordinate it

Suppression, sprinkler, alarm, and hood cleaning

Licensed specialty contractors do the semiannual hood service, the NFPA 25 sprinkler tests, the NFPA 72 alarm inspection, and the duct cleaning. We schedule them, we are on site, we read the report before it is filed, and we chase the deficiencies they leave behind.

How an install visit goes

  1. Written scope first. Every item from the gap list that needs equipment gets a written line with the fix and the price from the one price sheet. You approve it before a truck rolls.
  2. Materials in hand. We arrive with the brackets, cabinets, signs, batteries, and units the scope calls for. No second trip for parts.
  3. Install to the citation. Height, spacing, and signage to the code section on the gap list. A photo of every installed item goes into the site file the same day.
  4. Test in front of you. Lights are tested, extinguisher tags are initialed, cylinder racks are loaded, and you sign the visit report on the tablet.
  5. Calendar updated. Every new device gets its next date. The report and the photos are in your portal before we leave the lot.

What is in the site file

The site file is the product. It is what the inspector reads, what the adjuster asks for after a loss, and what the auditor pulls from. It is yours, and it leaves with you if you leave us.

  • Registration certificate and permit numbers with renewal dates
  • Every inspection report, ours and every vendor's, by date
  • A photo of every device tag at every visit
  • The equipment inventory with serials, hydro dates, and locations
  • The cylinder ledger: received, in service, returned, requalified
  • Open deficiencies, who owns them, and when they closed
  • Fire-drill, training, and monthly self-check logs
  • Insurance endorsement language and what it conditions coverage on
  • Alarm and fault history with acknowledgement times
  • Vendor contracts and renewal dates, so nothing auto-renews unseen
